A CRM for Estate Agencies: Enquiries, Property Emails and Follow-ups in One Place
Kantos Team
How Kantos helps an estate agency answer enquiries quickly, send each buyer homes in their budget and language, and notice who is ready to talk.
An estate agency lives on follow-up. A buyer asks about one home today and may buy a different one next year. In between, someone has to answer quickly, remember what that buyer wants, and keep sending them homes worth opening. Kantos was built to do that work for agencies with an international list of buyers. Domus Venari, on the Costa del Sol, runs on it.
Every enquiry reaches the right agent
Enquiries arrive from your website forms, live chat, email and WhatsApp. Each one lands on a single record for that client, so a repeat enquiry joins the history you already have instead of starting a new one.
- Sent to the agent who speaks their language. German, Dutch and Scandinavian buyers can go straight to the agent who speaks to them in their own language.
- A reply on its way. A client who writes in gets a confirmation from their agent, in their language.
- Nobody left waiting. If a new lead has not had an answer, the agent gets a reminder, and you can see which leads are overdue.
A weekly email built from your own listings
Copying homes into a newsletter by hand, one version for each language and budget, takes hours and goes wrong easily. Kantos builds the email from your listing feed instead.
- The right homes for each reader. Each reader gets homes in their budget, written in their own language. Eight languages are ready to use.
- Your agents' picks first. Agents find a home in the website search, add a line about it, and it goes at the top.
- Nothing goes without your OK. You look over the week's email and approve it. Without your approval, it is not sent.
- Readers choose what they get. A link in the email lets readers set their budget, property types, bedrooms and areas, and their next email follows their choice.
When a particular home deserves attention, a property spotlight puts it in front of your whole list or one budget range, with your own headline and any price cut shown.
See who is ready to talk
Open rates say little. What matters is which homes each client looked at.
- Clicks by client. Each email shows who clicked which homes, with clicks by email security systems left out, and each client's page lists the homes they clicked.
- A follow-up the next morning. When a lead clicks a home, their agent can email them those homes the next day, most clicked first.
- Alerts on saved homes. When a saved home drops in price or is sold, the client gets one email from their agent, with similar homes for any that are gone.
- Results for each agent. Every agent can see which of their own clients are interested.
A buyer's wishes, kept up to date
Budgets and wish lists tend to sit in old notes and long email threads. Kantos can use AI to fill in the budget, property types and a buyer score from new notes, enquiries and messages. It never overwrites something a person entered; it leaves a suggestion instead.
Your AI assistants and website chat can also search your live listings and send homes to a client, answering only from what the listings say.
A pipeline that matches how agencies work
Each lead has one stage that you name yourself, from New to Sold, on a board everyone reads the same way. A reply, a booked visit or a signed reservation can move a lead forward by itself. Moving someone to Sold or Lost takes them out of your next bulk email, so people who have already bought stop getting your newsletter.
Getting started
We set up the property tools with each agency, because they depend on where your listings live and how your website is built. If you run an agency and want to see this working on your own listings, talk to us. You can also read the full list of property email features.
