Two-Way Calendar Sync

Two-way sync with Google Calendar and Outlook keeps your team's real-world schedule and Kantos bookings in lockstep — existing meetings block new bookings automatically, and Kantos only ever sees when staff are busy, never what the meeting is.

The Problem

Staff keep their real calendars in Google or Outlook, but Kantos booking pages don't know about those commitments — so customers can book a slot that's already taken elsewhere, and reconciling two calendars by hand doesn't scale past one person.

The Solution

Kantos syncs both directions: a connected calendar's busy times block matching slots on the booking page automatically, and appointments booked in Kantos push onto the staff member's own calendar as an event. On Google, Kantos requests free/busy access only — it knows when someone is busy, never what the meeting is, unlike competitors that require full read-write calendar permissions. Microsoft's Graph API offers no equivalent narrow-access grant, so on Outlook Kantos holds broader access but still discards event titles, attendees, and details by policy rather than reading them.

    Connect a staff member's Google Calendar or Microsoft Outlook account once. From then on, their real calendar and their Kantos booking slots stay in sync automatically in both directions.

    Busy times pulled from the connected calendar block those same slots on the booking page automatically, so customers can never book a time a staff member has already committed elsewhere.

  • Bookings Pushed to Their Calendar

    Every appointment booked through Kantos is created as an event on the staff member's own calendar — reassignments and reschedules update or move the event, and cancellations remove it.

  • Privacy By Design

    On Google, Kantos requests free/busy access only — never full read-write calendar permissions. Outlook's Graph API has no narrower calendar grant to request, but Kantos still never reads or stores the title, attendees, or details of what the meeting is — busy is all it looks for.

  • Reconnect Alerts

    If a calendar connection's access expires, Kantos notifies the staff member and org admins immediately so it can be reconnected before the cached busy times go stale.

  • Encrypted OAuth tokens per connection with automatic refresh; a failed refresh notifies the staff member and org admins to reconnect
  • Busy-time cache refreshes on a schedule and is re-checked at commit time to close the gap between a slot showing free and the booking being confirmed
  • Provider-agnostic adapter layer supports Google Calendar and Microsoft Outlook behind the same sync interface
