1. Account Setup

Creating Your Organization

After signing up, you'll be prompted to create your organization:

  1. Organization Name: Your company or team name
  2. Subdomain: Choose a unique subdomain (e.g., acme.kantos.ai)
  3. Industry: Select your industry for tailored recommendations
  4. Team Size: Help us optimize your experience

Understanding Your Trial

Your 14-day free trial includes:

  • Full access to all features
  • Up to 50 records
  • 1 AI assistant
  • 100 AI messages
  • 1 knowledge base (10MB)

No credit card required! Start building your CRM right away.

2. Creating Your First Custom Object

Custom objects are the foundation of your CRM. Think of them as database tables that hold your business data.

Step-by-Step

  1. Navigate to Data Model in the sidebar
  2. Click Create Object
  3. Fill in the details:
    • Name: Internal identifier (lowercase, no spaces, e.g., companies)
    • Label: Display name (e.g., "Companies")
    • Description: Optional context for your team
  4. Click Create Object

Example Objects

  • Companies: B2B customer accounts
  • Contacts: Individual people at companies
  • Deals: Sales opportunities
  • Projects: Client engagements
  • Support Tickets: Customer issues

3. Adding Fields to Your Object

Fields define what information you store for each record.

Creating Fields

  1. Click on your object in the Data Model page
  2. Click Add Field
  3. Configure the field:
    • Label: Display name (e.g., "Email Address")
    • Name: Internal identifier (e.g., email)
    • Type: Choose from available field types
    • Required: Make it mandatory if needed

4. Creating Records

Now that your object is defined, let's add some data!

Manual Record Creation

  1. Go to Data ModelAll Records
  2. Select your object from the tabs
  3. Click Create Record
  4. Fill in the form fields
  5. Click Save

Bulk Import

For adding many records at once:

  1. Prepare your CSV or Excel file with column headers matching your field names
  2. Select your object
  3. Click ImportCSV Import
  4. Map columns to fields
  5. Review and confirm

Pro Tip

Use the Export feature first to generate a template with your exact field structure.

5. Setting Up Automation Rules

Automate repetitive tasks to save time.

Example: Auto-Assign High-Value Leads

  1. Go to Automation
  2. Click Create Rule
  3. Configure:
    • Name: "Assign High-Value Leads"
    • Trigger: Record Created
    • Object: Companies
    • Conditions: revenue greater than 100000
    • Action: Assign Record to Senior Sales Rep
  4. Enable and save

6. Inviting Team Members

Collaborate with your team:

  1. Go to SettingsTeam
  2. Click Invite Member
  3. Enter email address
  4. Assign role:
    • Admin: Full access
    • Member: Standard access
    • Viewer: Read-only
