1. Account Setup
Creating Your Organization
After signing up, you'll be prompted to create your organization:
- Organization Name: Your company or team name
- Subdomain: Choose a unique subdomain (e.g.,
acme.kantos.ai) - Industry: Select your industry for tailored recommendations
- Team Size: Help us optimize your experience
Understanding Your Trial
Your 14-day free trial includes:
- Full access to all features
- Up to 50 records
- 1 AI assistant
- 100 AI messages
- 1 knowledge base (10MB)

2. Creating Your First Custom Object
Custom objects are the foundation of your CRM. Think of them as database tables that hold your business data.
Step-by-Step
- Navigate to Data Model in the sidebar
- Click Create Object
- Fill in the details:
- Name: Internal identifier (lowercase, no spaces, e.g.,
companies) - Label: Display name (e.g., "Companies")
- Description: Optional context for your team

- Companies: B2B customer accounts
- Contacts: Individual people at companies

3. Adding Fields to Your Object
Fields define what information you store for each record.
Creating Fields
- Click on your object in the Data Model page
- Click Add Field
- Configure the field:
- Label: Display name (e.g., "Email Address")
- Name: Internal identifier (e.g.,
email) - Type: Choose from available field types
- Required: Make it mandatory if needed

4. Creating Records
Now that your object is defined, let's add some data!
Manual Record Creation
- Go to Data Model → All Records
- Select your object from the tabs
- Click Create Record
- Fill in the form fields
- Click Save
Bulk Import
For adding many records at once:
- Prepare your CSV or Excel file with column headers matching your field names
- Select your object
- Click Import → CSV Import
- Map columns to fields
- Review and confirm
Pro Tip
Use the Export feature first to generate a template with your exact field structure.
5. Setting Up Automation Rules
Automate repetitive tasks to save time.
Example: Auto-Assign High-Value Leads
- Go to Automation
- Click Create Rule
- Configure:
- Name: "Assign High-Value Leads"
- Trigger: Record Created
- Object: Companies
- Conditions:
revenuegreater than100000 - Action: Assign Record to Senior Sales Rep
- Enable and save
6. Inviting Team Members
Collaborate with your team:
- Go to Settings → Team
- Click Invite Member
- Enter email address
- Assign role:
- Admin: Full access
- Member: Standard access
- Viewer: Read-only
